Welsh Government are participating in a number of business to business (B2B) exhibitions, conferences, trade missions and export market visits, in Wales, the UK and around the World to promote Wales and Wales based businesses.

This will create opportunities for Wales-based businesses to participate with us under the Wales banner.

Cenex Expo 2025

Cenex Expo is the UK’s premier annual low carbon vehicle event incorporating four key features:

1.    Technology exhibition – over 200 exhibitors

2.    Extensive seminar programme – over 200 speakers

3.    Facilitated networking with the low carbon community

4.    Ride & drive of the latest research and development and commercially available vehicles.

The event sets an agenda where low carbon vehicle and connected automated mobility innovations combine to shape the future of mobility.

The Wales pavilion is located in a prominent position at the show, with space for co-exhibitors at a cost of £750 + vat each.

WHY ATTEND?

Exhibiting with Welsh Government can be a very cost-effective way to showcase your company, gain valuable contacts and identify potential business in this sector.

As a co-exhibitor you will benefit from:

  1.         a branded space on the Wales pavilion with counter-top, lockable cupboard, power supply and storage

2.         use of meeting space on stand

3.         at least one pass for the duration of the event

4.         inclusion in marketing material where available

5.         Inclusion in Wales media, marketing and potential PR opportunities.

Introduction/Background

Welsh Government organise various types of events to help us in the work we do. 

The Industrial Transformation Division (ITD) Events Team concentrate on business to business events, exhibitions, trade missions, export market visits and conferences within Wales, the UK, and around the World, to promote Wales and Wales-based businesses.   We offer opportunities for Wales-based businesses to participate with us under the Wales banner, either as an exhibitor with a small pod on our stand, or as a visitor, attending a show with us and using our stand as a central point of contact. 

Not all of our events happen annually, some are biennial, and we evaluate outputs with you, up to 12 months after the event has taken place.  Therefore this privacy notice is required to highlight a change from the original Welsh Government privacy notice.

Why do we need to process your personal data?

If you wish to partake in ITD events as detailed above, from the first point of application, we’re required to process personal data about you and your business.  Welsh Government will be a data controller for the information you share.

What is the Lawful Basis for processing?

Your personal data is processed as part of Welsh Government’s public task; that is, exercising our official authority to undertake the core role and functions of the Welsh Government.  In certain instances, where we process special category data about you, (eg accessibility, dietary requirements etc) we do this for reasons of substantial public interest to ensure that our events are inclusive of all attendees’ specific requirements.

What personal information do we need to process?

If you apply to exhibit with ITD, or attend that event as part of a visitor package, you will need to complete an expression of interest form, which will be saved on our secure, internal system.  We will ask for:

 

·         Company name, primary contact, address, telephone number, email and website address

·         Overview of business activities in Wales

·         An outline the strategic fit of this event with your business objectives

·         How you plan to maximise this opportunity

·         What targets are you setting to measure the success of the event for your business?

·         Whether you have attended this event with Welsh Government previously, and your consent to partake in appropriate PR if you wish.

Your application form is retained for three years.  We will then create a delegate spreadsheet with just your contact details and website address.  The delegate spreadsheet is collated for multiple logistical use.  This might be to register you for an online exhibitor profile, tickets or exhibitor passes, and may include your name, company contact details, and, if the venue includes controlled access parking, your car make, model and registration number. 

You may need to advise us of special category data.   This is data which can be more personal or sensitive.  This might be mobility requirements to increase travel comfort, physical or mental health conditions, dietary requirements etc.

Sometimes, ministers, diplomats or dignitaries may visit our stand, and we’re required to brief them beforehand about your company.  We may also provide a penpic and photo, but we will ask for your agreement to do so. 

We may need to share your personal information with venues, partner organisations and/or third party suppliers, but only for purposes specific to the event.  When arranging overseas events, it’s sometimes necessary to use a third party to arrange travel and accommodation, or to manage our stand.  Welsh Government’s contracts with them set out strict requirements for the processing and safekeeping of personal data.

We will retain your information on file for three years after any event you attend, and will not share it externally for any marketing purposes.  This will include your original application form.

If you make an enquiry with us at an event:

If you have made a business enquiry with us whilst at an event, we will take the contact details you volunteer and a summary of your enquiry.  This will be input into an enquiries spreadsheet and retained for three years.  Your information shared with internal Welsh Government or one of our forums specific to the related industry, to action or contact you to assist further.  Welsh Government’s contracts with them set out strict requirements for the processing and safekeeping of personal data. 

If your enquiry requires a more in-depth follow up, your details are entered onto a Welsh Government owned customer relationship management system called BAS.  We recommend that you familiarise yourself with the specific user policies on the BAS system. 

Will your personal information be shared?

Personal information held by the Welsh Government may be shared with third parties under contract only to facilitate the aims of the Welsh Government with regard to economic development.

Your rights:

Under the UK GDPR you have the following rights;

  • To access a copy of your own data;
  • For us to rectify inaccuracies in that data;
  • To object to or restrict processing (in certain circumstances);
  • For your data to be ‘erased’ (in certain circumstances); and
  • To lodge a complaint with the Information Commissioner’s Office (ICO) who is our independent regulator for data protection.
